At Grapeworks, we have a strong focus on our customers and this role plays a pivotal component to ensuring we deliver to meet their needs.  We’re proud to put our customers first and we need to grow our team to help us achieve this.  So we are seeking a polished Sales Admin Assistant who excels in customer services and can provide exceptional support to our Sales team.

You'll be responsible for supporting the sales function as a point of contact for customers with queries about products, orders and deliveries ensuring our customers’ experience is of the highest quality and providing admin assistance to the sales team.  You’ll also have the opportunity to manage some sales on your own.  This role provides lots of opportunity to stretch your skills across different activities and has considerable room for growth so you will never be bored!

Key responsibilities of the role include:

  • Ensuring all external sales or product enquiries are responded to asap either by phone or email, or both.
  • Answering incoming calls
  • Converting as many enquiries into quotes and sales as possible
  • Refering potential new customers directly to the sales team – setting up new customer records
  • Arranging and sending samples to Suppliers / Customers
  • Entering Customer PO’s into the system
  • Following up on all customer quotes < $5K as requested by the sales team
  • Checking data accuracy on orders and invoices
  • Ongoing customer service with key customers to ensure we are meeting expectations and adding value
  • Liasing with the Warehouse to ensure timely deliveries and make adjustments to sales orders when required

About you

If you are a self starter, with a proactive approach and enjoy working in a dedicated small team, then this is the role for you.  You will need to have a proven background in sales admin preferably within the wine industry.  It’s critical you have a genuine, honest and ethical approach to all facets of business and customer communication if you are to succeed at Grapeworks.  You’ll also need to have a can do attitude where no job is too big or too small.  To become part of the team, there’s a few skills you should have:

  • 2+ years as a Sales Administrator or in a customer support role
  • Background in administration or a role supporting others
  • Previous experience in the industry highly regarded
  • Exposure to order entry, invoicing, purchase orders and receipting
  • Understanding of sales team environment
  • Strong written and verbal communication skills and a polite and professional phone manner
  • Ability to juggle competing priorities using excpetional organisational skills
  • Resourceful and proactive in approach
  • A knack for identifying urgent tasks and also see opportunity to enhance process
  • Proficient with Microsoft Office and have a high attention to detail
  • Be friendly, energetic and genuinely enjoy interacting with people
